1. Introduction

Welcome to Shyama Vidya, developed by Kanchan Sain (Shyama Database). We respect your privacy and are committed to protecting the personal and school data managed within our application. This Privacy Policy explains how we collect, use, store, and safeguard your information when you use the Shyama Vidya mobile application.

2. Legal Basis for Processing

We process your information in compliance with applicable privacy laws, including the Digital Personal Data Protection Act, 2023 (DPDP Act) of India, based on:

User Consent – when you sign in and use the app.
Service Necessity – to provide core app functionality (school management features).
Legitimate Interests – to improve app performance, security, and reliability.

3. Information We Collect

Shyama Vidya functions as a school management dashboard. To provide these services, we collect and process the following types of information:

3.1 Account & Registration Information

Name
Email address
Phone number (if provided)
Role (e.g., Teacher, Administrator)
Institution Identifier (School Code) – a unique code automatically generated during school registration
Authentication Data (via Firebase Authentication, including your unique User ID - UID)

Authentication Method: Shyama Vidya uses Google Sign-In for user authentication via Firebase Authentication. We do not collect, store, or manage user passwords. All authentication credentials are securely handled by Google, and the developer does not have access to user login credentials.

3.2 School & Academic Data

Student records (e.g., name, class, roll number)
Teacher details
Class routines and schedules
Marks, results, attendance records, MCQ responses, SAQ (Short Answer Question) responses, mock test scores, assignment submissions, uploaded homework files (including images, PDFs, and educational documents), online examination records, correct and incorrect answer history, automated grading results, academic rankings, examination analytics data, assignment evaluation records, examination attempt timestamps, question navigation activity, answer selection timestamps, answer modification history, and examination interaction records.
Fees and payment records (for internal record-keeping only)
Academic Assessment Data:
Shyama Vidya may process academic assessment information related to MCQ systems, SAQ (Short Answer Question) assessments, mock tests, assignment submissions, assignment evaluations, online examinations, examination analytics, performance tracking, and academic ranking systems.

This data is used strictly for educational management purposes and is accessible only to the respective student/guardian and authorized school personnel associated with the linked institution.

  👉 This may include question responses, SAQ responses, uploaded assignment files, scores, rankings, review history, automated grading records, assignment evaluation records, examination analytics information, question navigation records, answer selection timestamps, answer modification history, and examination or assignment submission timestamps.

Fees & Payment Clarification:
Shyama Vidya allows administrators to record fee-related information for internal accounting purposes only. Aside from optional app subscriptions processed through Google Play Billing (see Section 5), the application does not process real-world financial transactions for school fees and is not connected to any bank account, UPI system, or payment gateway for institutional fee collection.

3.3 Device Information & Technical Data

Security Monitoring:
To protect user data and ensure application integrity, Shyama Vidya may perform local checks on the device to detect the presence of unauthorized modification tools (such as root cloaking frameworks or code injection tools like Xposed or Frida). These checks are performed entirely on the device, and no information about installed applications is collected, stored, or transmitted to our servers.

Crash Logs & Diagnostics:
Shyama Vidya uses Google Play Services and Play Integrity API to monitor application health and security. These services may collect technical diagnostics and crash reports to help maintain app stability, detect errors, and prevent data tampering. This information is used only for improving app performance and security, and does not include any personal student or teacher data.

4. Google Drive & Google Sheets API & User Data

Shyama Vidya provides Cloud Backup features using Google Drive and optional educational data import features using Google Sheets APIs.

Google Drive Backup Access

What We Access: Only the app-specific hidden folder (drive.appdata scope).
How We Use It: Upload encrypted backups, read backups for restore, and delete backups when requested by the user.
What We DO NOT Access: Personal photos, documents, or any other files in your Google Drive.

    👉 We cannot view, access, or modify anything outside our app’s backup files.
  

Google Sheets API Access

Shyama Vidya may allow authorized users to connect their Google account and import educational data directly from Google Sheets.

What We Access: The app may request access to the following Google API scope:

Why We Need It: To allow users to bulk-import educational content such as MCQ questions, student admission records, academic datasets, and related school management information from spreadsheets explicitly selected by the user.
User Ownership & Control: Shyama Vidya only accesses spreadsheets that the user explicitly authorizes through the official Google OAuth consent screen and provides manually using a Sheet ID or spreadsheet selection process.
No Background Access: The app does not continuously scan, monitor, or access Google Drive or Google Sheets data in the background.
No Advertising Usage: Google Sheets data is never used for advertising, behavioral profiling, analytics profiling, or commercial targeting.

Limited Use Compliance: Shyama Vidya only uses Google user data to provide core app functionality including backup, restore, and spreadsheet import operations. We do not use this data for advertising, profiling, or analytics.

Google API Limited Use Disclosure:
Shyama Vidya's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

No Human Access: Google Drive and Google Sheets data are processed automatically by the app, and no human has access to user backup files or spreadsheet content except when explicitly shared by the user for support purposes.

Compliance: Shyama Vidya complies with the Google API Services User Data Policy, including the Limited Use requirements.

5. Google Play Billing & Subscriptions

Shyama Vidya includes integrated support for the Google Play Billing system for optional subscription plans and premium features available within the application.

Payment Processing:
Any subscription payments are securely processed through the official Google Play Billing system. Shyama Vidya does not collect, store, or have access to your credit card numbers, banking details, or other financial credentials.

Data Usage:
If subscription services are purchased through Google Play, limited transaction information (such as purchase tokens and subscription status) may be received solely for account verification and activation of premium features.

User Control:
Subscription plans are optional. Users are informed of applicable pricing and features before completing any purchase. No charges occur without explicit user consent through Google Play.

Subscription Management:
Any active subscription can be managed or cancelled through the user's Google Play Account settings.

5.A. App Permissions & Local Storage

Local Storage

Shyama Vidya stores certain application data such as encrypted backups, cached files, and user-generated reports (PDF, Excel, and images) in app-specific storage, including the device Documents directory, or in user-selected export locations supported by Android.

Shyama Vidya uses a local SQLite database (Room) to cache certain school and student records for offline access and faster performance. This data remains on the device and may be cleared upon logout, app reset, or app uninstallation.

    👉 Database backups are encrypted before storage. Some exported files such as PDF, Excel, or image reports may be saved in readable format so users can easily access, share, or print them. The app does not request broad storage permission to access all files on your device.
  

Media & Files (Gallery / File Picker):
Shyama Vidya allows authorized school users including teachers, administrators, and students to upload educational images, PDFs, documents, assignment submission files, and related educational content in sections such as Assignment Submit, Student Notes, and Notice Board.

Selective Access:
The app uses the Android system file picker and only accesses files explicitly selected by the user. It does not access or scan the entire device storage.

Secure Storage:
Uploaded files, including assignment submissions and educational documents, are stored securely in the school's dedicated Firebase Storage and are accessible only to authorized users associated with the linked institution.

Push Notifications (POST_NOTIFICATIONS permission)

Used to send schedule updates, marks updates, reminders, and administrative alerts.

👉 You can disable notifications at any time from your device settings.

Foreground Service (DATA_SYNC)

The app uses a Foreground Service only for important backup, restore, and synchronization tasks when required.

    👉 This helps critical operations continue safely during active tasks, reducing interruption, incomplete transfers, or data loss.
  

Location Data (Approximate & Precise)

To use the secure features of the Shyama Vidya platform, the app requires access to your device’s approximate and precise location data.

Prominent Disclosure:
Shyama Vidya collects location data only when teachers submit attendance or during school registration to verify physical presence within the school premises. This data is not used for tracking, advertising, or profiling and is collected only during active user actions.

Why we collect it: Location data is used only for two core security functions within the app:
- School Registration: To verify the physical existence of the school and capture the correct geographical coordinates of the premises.
- Teacher Attendance: To verify that teachers are physically present within the authorized school radius when submitting their daily check-in and check-out logs.

Geofencing for Attendance Verification:
Location data is used as part of a geofencing mechanism to verify that attendance actions (check-in and check-out) are performed within the authorized school boundary. This location data is collected only when the user actively submits attendance and is not used for background tracking, advertising, or profiling.

When we collect it: Location is accessed only while the app is actively in use (in the foreground). Users are explicitly informed in-app before granting this permission. It is triggered specifically when submitting a school registration form or when a teacher manually clicks the button to submit their attendance. We do not track your location in the background.
How we protect it: Coordinates are encrypted using AES-256-GCM (Advanced Encryption Standard) before being transmitted. This data is stored on secure, restricted-access servers. This encryption is designed to help protect your data from unauthorized access.
Data Sharing: We do not sell, rent, or share your location data with advertisers, analytics providers, or third-party tracking services. Location data is accessible only to authorized school administrators and authorized support personnel when reasonably necessary for verification, security, or fraud prevention.
User Control: You can deny or revoke this permission at any time from your device settings. While the app will remain accessible for other features, the specific actions of registering a school or submitting location-based attendance cannot be completed without this permission.

    👉 Shyama Vidya does not perform background tracking. Location is requested only during explicit user actions (like verifying the school compound or manually submitting a daily attendance log), not for continuous or persistent monitoring.

Administrative Controls & Mutual Consent

The Shyama Vidya platform provides School Administrators with the technical ability to toggle the Location-Based Attendance feature ON or OFF for their institution. The use of this feature is strictly governed by the following principles:

Administrator Responsibility: If the School Administrator makes any changes to the Location-Based Attendance settings, it is their responsibility to formally notify all School Teachers of these changes.
Consent & Agreement: Teachers must agree to participate in the location-based attendance system, ideally documented in writing between the Teacher and the School Authority prior to use. Furthermore, users are always prompted in-app before location access is granted.
Voluntary Participation (No Coercion): If any teacher does not agree to this location-tracking system, the School Administrator cannot forcefully mandate its use through the app. Participation must be entirely voluntary.
Condition of Use: The Shyama Vidya location-based attendance system is provided as a tool for environments where the Teacher, the School Administrator, and the School Authority have mutually accepted these terms.

Mandatory Attendance Register & Dispute Resolution

While the Shyama Vidya platform provides the digital infrastructure for tracking attendance, the official management of attendance records remains the administrative responsibility of the school.

Authority Responsibility: The maintenance, verification, and enforcement of the mandatory School Attendance Register is the sole responsibility of the designated School Authorities, including the Headmaster (HM), Teacher-in-Charge (TIC), and relevant Higher Authorities.
Issue Resolution: Any discrepancies, technical disputes, or administrative conflicts arising from the recording, tracking, or management of school attendance must be addressed and resolved internally by the School Admin and Higher Authority.
Limitation of Liability: The Shyama Vidya app serves exclusively as a technological facilitator to digitize attendance. Administrative decisions, disciplinary actions, and dispute resolutions remain the responsibility of the school authority, not the platform developers.

Time Synchronization & Attendance Corrections

To help maintain the integrity of attendance records and prevent time-tampering, the Shyama Vidya platform records all check-in and check-out events using our secure server time, rather than the local time displayed on the user's device.

Server Time Standard: Because the system relies on remote server synchronization, users may occasionally notice a minor difference between their phone's local clock and the officially recorded attendance time. The server time is treated as the official system time used for attendance records.
Correction Procedure: If a teacher notices a significant error in their logged attendance time due to a network sync issue, device failure, or other unforeseen circumstances, they cannot alter the log themselves. To request a change, the teacher must submit a formal written application to the School Administrator or designated authority detailing the issue.
Administrator Authority & Control: The School Administrator retains authorized administrative control over the attendance registry. Upon reviewing a teacher's written request, the Administrator has the authority to manually update, correct, or adjust the teacher's attendance time within the system.

6. How We Use Your Information

We use collected data to:

Provide and maintain core app functionality.
Manage school operations and academic administration.
Enable secure backups, restore features, and data synchronization.
Send notifications, reminders, schedules, and administrative alerts.
Improve application performance, reliability, and security.
Process MCQ tests, SAQ (Short Answer Question) assessments, mock tests, assignment evaluations, and online examinations.
Manage, review, and evaluate student assignment submissions and uploaded educational files.
Generate automated academic results, assignment evaluations, rankings, progress analytics, and performance reports.
Provide students and guardians with examination history and academic progress tracking.
Allow authorized teachers and school administrators to monitor academic performance, review assessment records, and publish examination results.
Maintain examination integrity through timed submissions, automated evaluation, and result management systems.
Detect, prevent, and investigate security threats, misuse, fraud, unauthorized access, or policy violations.
Comply with applicable legal obligations and enforce our policies where necessary.
We do not sell personal data under any circumstances.

Data Minimization:
We collect only the minimum amount of data necessary to provide the core functionality of the application and related educational services.

  👉 We do not access, view, or use your school data for any purpose other than providing core app functionality, educational services, technical support, security protection, or when required by law. Access to data is strictly limited and controlled. We do NOT use your data for advertising, behavioral profiling, commercial profiling, or targeted marketing. Academic assessment, examination, and student performance data are processed strictly for educational and institutional management purposes.

7. Data Security & Encryption

We take strong security measures:

Cloud Data: Stored on Google Firebase, encrypted in transit and at rest.
Backup Security: AES-256 encryption. Device-locked local backups and Identity-locked cloud backups (School Code based).

Screen Protection:
To protect sensitive academic data such as student marks, notes, and reports, Shyama Vidya may implement system-level security measures (such as blocking screenshots and screen recordings) in specific sections of the app. This helps prevent unauthorized capture, sharing, or misuse of academic information.

7A. School Data Responsibility & Manual Management

Shyama Vidya functions as a digital tool to assist schools in managing academic and administrative data. All school-related data, including student records, marks, attendance, and notices, are created, updated, and maintained manually by authorized users such as teachers and administrators.

Manual Data Entry: All data (students, marks, notices, attendance, etc.) is entered and managed manually by the user or institution.
No Continuous Monitoring: Shyama Vidya does not continuously monitor, track, or log school data activities beyond what is necessary for app functionality and security.
User Responsibility: The accuracy, completeness, and maintenance of school data are the sole responsibility of the respective school or user.
Data Maintenance: Users are responsible for regularly updating, verifying, and maintaining their data, including keeping proper backups where necessary.
Shyama Vidya is intended for administrative and educational assistance only and is not an official or certified academic record system. Schools and institutions are solely responsible for maintaining accurate and legally compliant records.

    👉 Shyama Vidya does not automatically verify or maintain school data. All records are user-managed, and users are responsible for ensuring data accuracy and safety.
  

7B. Online Examination & Assessment System

Shyama Vidya may provide digital academic assessment features including MCQ tests, SAQ (Short Answer Question) assessments, mock tests, assignment evaluations, online examinations, automated grading systems, academic ranking displays, student performance tracking tools, and examination analytics features.

The platform may process examination-related information such as question responses, SAQ responses, answer history, assignment submissions, uploaded educational files, scores, rankings, review records, automated grading results, assignment evaluation records, examination attempt timestamps, submission records, question navigation activity, answer selection timestamps, answer modification history, examination interaction records, and performance analytics data to provide educational services and academic management functionality.

Examination and assessment data may be used to:

Conduct MCQ tests, SAQ assessments, mock tests, assignment evaluations, and official online examinations.
Generate automated results, assignment evaluations, academic ranking displays, and academic performance reports.
Provide students and guardians with academic progress tracking, examination history, and answer review reports.
Allow authorized teachers and school administrators to review performance and publish examination results.
Allow authorized teachers and school administrators to review and evaluate assignment submissions and uploaded educational files.
Maintain examination integrity through timed submissions, auto-submit functionality, examination monitoring, and secure result management.
Analyze academic performance, generate rankings, and improve educational assessment features.

Additional Examination Analytics Information

Shyama Vidya may collect and process examination analytics data including question navigation activity, answer selection timestamps, time spent on individual questions, answer modification counts, examination interaction history, and performance-based ranking metrics.

This information is used solely for academic performance analysis, examination monitoring, result processing, ranking generation, educational assessment improvements, and providing detailed answer review and feedback reports to students, guardians, and teachers.

Access to examination and assessment data is restricted to:

The respective student or guardian
Authorized teachers
Authorized school administrators associated with the linked institution

Academic assessment, examination records, and examination analytics data are used strictly for educational and institutional management purposes and are never used for advertising, behavioral profiling, commercial targeting, or marketing purposes.

  👉 Shyama Vidya does not share student examination data, examination analytics information, rankings, or performance records with advertisers, unrelated schools, or third-party marketing services. Examination records remain under the control of the respective educational institution and authorized administrators.

8. Data Sharing and Disclosure

We do NOT sell, trade, rent, or commercially share your personal, school, or academic assessment data. We only share and process data with trusted third-party service providers (primarily Google services) strictly to operate, secure, and improve the app's core functionality.

Academic examination records, mock test performance, online assessment data, student progress information, and related academic reports may be accessible only to authorized school administrators, teachers, and guardians associated with the linked institution strictly for educational management, academic monitoring, examination review, assignment evaluation, and result publication purposes.

Shyama Vidya does NOT share student examination data, assessment history, academic rankings, performance information, imported spreadsheet content, or Google account data with advertisers, unrelated institutions, analytics brokers, data resellers, or third-party marketing services.

Shyama Vidya does not display third-party advertisements and does not use student, teacher, guardian, school, or Google API data for advertising, behavioral profiling, analytics profiling, or marketing purposes.

OAuth Token Handling:
When you authorize Google Sheets access, Shyama Vidya receives a temporary OAuth access token from Google. This token is used strictly to communicate securely with Google APIs for authorized spreadsheet import operations. The application does not have access to your Google password. OAuth access tokens are securely stored on the user's device and are never sold, shared, or transferred to unrelated third parties.

Google API Limited Use Compliance:
Shyama Vidya's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

    👉 We collect, store, and process data using these services only to provide essential app functionality such as user authentication, secure database storage, push notifications, cloud backup and restore features, spreadsheet import functionality, attendance management, and academic assessment systems including MCQ tests, SAQ assessments, assignment evaluations, mock tests, and online examinations.
  

    👉 These providers act as data processors on our behalf and are contractually obligated to handle data securely and in compliance with applicable privacy laws and Google API policies.
  

    👉 The application relies on third-party services such as Firebase, Google Authentication, Firebase Cloud Messaging (FCM), Google Drive API, Google Sheets API, and other Google infrastructure services. The developer does not control or manage these services and cannot guarantee their availability, performance, or continued operation.
  

9. International Data Transfer

Your data may be processed on servers located outside your country (including by Google infrastructure).

10. Data Retention

We retain your data for as long as your account is active to provide uninterrupted school management services.

Active School Data: Retained securely in the database as long as the user or school actively uses the app.
User-Deleted Data: Removed immediately from the active database upon user action.
Account Deletion: Permanently erased within 14 business days upon receiving a valid deletion request.

Academic examination records, SAQ records, assignment submissions, uploaded educational files, mock test history, and online assessment data may remain stored as long as the student remains associated with the institution or until such records are removed by authorized school administrators as part of institutional data management.

    Data Storage Limitation & Inactivity: 
    While we strive to keep your active data accessible, Shyama Vidya does not guarantee permanent storage. We reserve the right to delete data from accounts that have been completely inactive for an extended period (e.g., 6 to 12 months), though we are not obligated to do so automatically.
    
    Important Backup Notice: Users are strictly responsible for maintaining their own backups using the Google Drive backup feature. Shyama Vidya is not liable for any data that is lost, cleared, or unrecoverable.
    
    👉 Active data remains accessible as long as your account is in use, but maintaining regular personal backups is highly recommended.

11. Your Rights (Under DPDP Act & Global Laws)

In accordance with the Digital Personal Data Protection Act (DPDP Act, India) and other applicable laws, you have the right to:

Access your personal data.
Correct inaccurate or incomplete data.
Request the erasure (deletion) of your data.
Withdraw your consent at any time.
Nominate another individual to exercise these rights in the event of incapacity.

      👉 You can do most of these actions directly in the app. If you need help, you can contact us and we will assist you.
    

12. Data Breach Policy

While Shyama Vidya primarily processes basic educational data (such as names, roll numbers, and academic marks) and does not collect highly sensitive financial or biometric information, we take data security seriously and implement appropriate safeguards.

In the unlikely event of a security breach that compromises school or student data, we will take immediate steps to secure our systems and limit any potential impact.

We will take appropriate technical and organizational measures to investigate the incident and prevent similar occurrences in the future, in accordance with applicable legal and security obligations.

    👉 While we strive to protect user data, no system can be guaranteed to be completely secure. Users are encouraged to follow best practices such as securing their devices and login credentials.
  

13. Children’s Privacy

Shyama Vidya is intended for school administrators and teachers, and may also be used by parents or guardians. It is not designed for unrestricted independent use by children.

While a "Student" user option and educational features such as mock tests and online examinations are available within the app, these features are intended to be used under the supervision, guidance, or authorization of parents, guardians, teachers, or school authorities. Shyama Vidya does not track, profile, or serve targeted advertising to students and does not provide unrestricted social interaction or public communication features for children.

Students may upload assignment submissions, educational documents, images, or examination responses only within the educational environment managed by the linked institution.

Student assignment submissions, uploaded educational documents, examination responses, or related academic activities may be performed under the supervision, guidance, or authorization of a parent, guardian, teacher, or the respective educational institution. Shyama Vidya is not intended for unrestricted independent use by children.

While student data is processed, the school/institution acts as the Data Fiduciary (Data Controller) and is responsible for obtaining any verifiable parental consent required by law before entering a student's information into the system.

Student assessment, examination, and academic performance data processed within the platform is used strictly for educational purposes and is never used for advertising, behavioral profiling, or commercial targeting of minors.

Children’s Data Protection:
Shyama Vidya does not knowingly collect personal data directly from children. The app does not display advertisements, perform behavioral profiling, or use student data for marketing purposes. All student data is managed by school authorities or parents/guardians.

14. Cookies & Tracking

Shyama Vidya does NOT use cookies and does NOT use third-party tracking for advertising.

👉 Only essential data is used for app functionality.

15. Data Control & Deletion

In-App Data Control: Users can delete specific data such as student records, teacher details, attendance, marks, and other school-related information directly within the Shyama Vidya app through the dashboard.
Backup Control: Users can delete Google Drive backups at any time by unlinking their Google account. This will remove all app-specific backup data stored in their Google Drive account.
Google Sheets Permission Revocation: Users may revoke Google Sheets access at any time through the "Google Sheet Settings" page within the app by selecting "Sign Out / Revoke Access". Once revoked, Shyama Vidya immediately loses the ability to access or interact with the authorized spreadsheets.

Alternative Request: Users may also request account deletion by emailing shyama.database@outlook.com with the subject "Data Deletion Request".

    👉 Upon receiving a valid request, all account data—including student records, teacher data, attendance records, marks, SAQ records, mock test records, assignment submissions, uploaded assignment files stored in secure cloud storage, online examination records, and related assessment data and backups—will be permanently deleted within 14 business days.
    
    Note: Identity verification may be required to protect user data and prevent unauthorized deletion requests.
    
    Important: Deleted data may not be recoverable unless a backup is available. Users are responsible for maintaining backups before performing deletion actions.
    
    Backup Limitation: Local backup files are protected using keys stored within the app. If the app is uninstalled or the device environment changes, previously created local backup files may not work or be restorable. Users are highly encouraged to use the Google Drive cloud backup feature to prevent data loss in the event of an app uninstallation or device loss.
    
    Version Compatibility: Local backup files created in one version of Shyama Vidya may not be compatible with older or lower versions of the app. Users are advised to use the same or newer version of the app when restoring backups.
    
    Technical Disclaimer: In rare cases of technical errors, system failures, or unforeseen glitches, data loss may occur. In such situations, data may not be recoverable if no valid backup exists.

16. Changes to This Policy

Shyama Vidya may update or modify this Privacy Policy from time to time to reflect changes in our practices, features, legal requirements, or for other operational reasons.

Notification of Changes:
